How to structure a letter of recommendation
- Who you are: your name, title, and organisation, and how long and in what capacity you worked with the candidate.
- The headline: one sentence stating that you recommend them, and for what.
- Evidence: two or three specific examples of their work, skills, or character — ideally with outcomes.
- Comparison: how they stand against others you have worked with, if you can say so honestly.
- Close: a clear endorsement and an offer to be contacted.
For employees, students, and colleagues
For an employee, focus on results and reliability. For a student, focus on ability, curiosity, and growth. For a peer, focus on collaboration and what it is like to work alongside them. The editor keeps the referee’s details separate from the candidate’s, so the letterhead and signature block are correct.
Drafting one for your referee
Busy managers often ask candidates to draft their own letter. Write it honestly, send the PDF or a JSON backup to your referee, and let them edit and sign it — the signature can be typed or drawn, then dragged into place.

One page, roughly 300 to 500 words. Specific examples matter far more than length.
Can I sign the letter digitally?
Yes. Type a name in a handwriting style or draw a signature, then drag it into place on the PDF preview.
