When to send it
Within 24 hours of the interview, while the conversation is fresh. If you met several people, send each one a short individual note that references something they said. Email is the norm; attach the PDF or paste the text into the message body.
The three-paragraph structure
- Thank them for their time and confirm your interest in the specific role.
- Mention one concrete topic from the conversation and connect it to your experience — this is what makes the note memorable.
- Offer to share anything else that helps their decision, and say you look forward to hearing from them.
The editor pre-fills this structure with placeholders in brackets, so you only replace the parts that make it yours.
Common mistakes
- Sending one generic note to every interviewer.
- Re-pitching your entire resume. One point, made well, is enough.
- Waiting a week. After two or three days the note loses most of its value.
- Typos in the interviewer’s name or company — check them twice.
Frequently asked questions
Is a thank-you letter after an interview still expected?
